Senior Team Assistant

£154.00/Day PAYE £197.61/Day Umbrella

London – Canada Square

6 month contract

We are currently seeking an experienced individual to join this team in the role of Senior Team Assistant

 

HSBC are looking for someone to provide day-to-day Assistant support for any role that requires cover within Global Banking (due to core leave, sickness, busy periods etc). Roles that require Float cover can be Team Assistant or Executive Assistant requiring flexibility in approach.

Job Summary

·      Prepare accurate, timely reconciliations of corporate expenses within one month of receipt following expense policy and using Fusion to process expenses

·      Arrange and book meeting rooms as requested

·      Co-ordinate travel if required

·      Provide secretarial cover for peers within and across teams eg. Buddy and Phone Group

·      Assist with access for bankers SEOS requests etc)

·      Own and manage multiple complex diaries, using initiative to resolve conflicts and anticipating the banker’s requirements, ensuring efficient scheduling of meetings, co-ordinating with all relevant parties to ensure best possible use of time

·      Coordinate and manage complex travel and meeting schedules and itineraries ensuring timely preparation, reconciliation and submission of all travel and corporate expenses using knowledge of geography to support arrangements across multiple time zones

·      Manage and maintain key communication networks, building excellent rapport within team and maintaining effective relationships showing discretion as required

·      Anticipate issues, offering practical and timely solutions, upwardly referring as necessary

·      Ensure handover provided back to Assistant being covered accurately represents any key activities to be actioned/followed up on upon their return to role

 

Skills/Experience

·      Ability to step into any role sometimes with minimal handover

·      Experience in liaising with senior stakeholders

·      Strong teamwork skills

·      Ability to build and maintain strong internal relationships

·      Timely escalation of issues

·      Proactive with good organisational skills and forward planning

·      Excellent communication skills

·      Project professionalism at all times being resilient under pressure

·      C-suite experience
