EA & Team Admin

London/ Hybrid

£192.50/ Day

6 Month Contract - Possibility of extensions

 

Our client HSBC are currently seeking an EA and Team Admin to join their team in the London office/remote working, this contract will be for 6 months with a review to be extended. The workload will be split 60/40 in favour of administrative work with a lesser but still important focus on EA experience. The successful candidate will come in to support the function as a whole with a number of varying tasks from business admin to onboarding and logistics to supporting the GBM Finance Office Manager with day to day tasks.

 

The successful candidate will come from a corporate environment (ideally banking) and have experience with PowerPoint and Excel (basic spreadsheet work and formulas).

 

Role Purpose:

The role holder will provide a high level of EA; operational & administrative support for the GBM Finance function overall. Assisting with achievement of departmental priorities and goals for the COO and central activities of the function.

 

Principal Accountabilities:         

  • To provide full EA support to the senior leadership team; to include full diary management, travel, expenses administration and ad-hoc tasks
  • Provide EA and administrative cover for peers across the support team during absences.
  • To provide support to the Office Manager, COO and Senior Management Team with any duties, tasks or projects on a daily basis including ad-hoc requests
  • Provide overall administrative support & co-ordination for business as usual activities & key projects
  • Demonstrate professional & confident representation of the GBM Finance Senior Management team & Central Support team.
  • Support the delivery of the department’s town halls, includes managing logistics for the events.

Leadership & Teamwork:

  • To work effectively within the function & provide a high level of administrative business support to the Function, it’s Business Heads & Business Leads.
  • Build, network & develop relationships with HSBC staff at all levels.
  • Extend help to other team members’ (workloads permitting).

 

 Operational Effectiveness & Control:

  • To continually reassess the operational risks associated with the role & adhere to internal controls, procedures & policies.
  • Consider HSBC’s commitment to sustainability & carbon footprint.

             

Role Context:

  • The environment within the function is fast paced & ever changing.  The EA/team administrator will need to be a confident self-starter with experience of working well in a fast paced, changing environment with excellent IT (Microsoft Office) & interpersonal skills. 
  • Must be proficient in powerpoint and excel
  • In addition, the individual will need to be a team player who is happy to assist & support other members of the team
  • Problem solving and multi-tasking, the ability to plan and manage own activities

 

Management of Risk:

Is aware of the Operational Risk scenario associated with the role & acts in a manner to take account of operational risk considerations.

 

Observation of Internal Controls:

Maintains HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.

 

Knowledge & Experience / Qualifications:

  • Highly proficient in Powerpoint and Excel and strong with Microsoft packages
  • Experienced EA to MD level and multiple senior individuals when required
  • Excellent planning & organizational skills with the ability to multi-task & priorities effectively within an administrative capacity
  • BCP planning desirable
  • Highly motivated self-starter with the ability to work collaboratively within a team with clear examples
  • Demonstrated Proactive & confident approach
  • Excellent communication, written & interpersonal skills with clear examples
  • Confidence to interact & negotiate with individuals regardless of seniority & personalities.
