Role Title: Senior Learning Operations Coordinator

Duration: 6 months w/ possible extension

Location: GSK House (Tottenham Court)

Rate: £35 per hour - PAYE

Role purpose / summary

 

This role will support the operations of the Global Medical Affairs Capabilities and Practices team who work closely with the business at an enterprise level to deliver relevant, high-impact capability and ways of working programmes. It includes day to day operations of learning processes, programme operations and learning data/analytics reporting.

 

Responsibilities:

 

·               Deliver and oversee the work of C&P Operations to include on-shore and off-shore colleagues to ensure successful deployment of programmes and global capability initiatives

·               Programme operations:

-                Manage the overall C&P programme schedule

-                Identify workshop dates with vendors and internal business experts

-                Partner with global/regional/local operations to identify delegates, enrolment on dates, tracking attendance, waitlists and pre course work completions

-                Maintain Medical Affairs distribution lists for programmes and other global capability initiatives

-                Prepare and send out pre and post programme learner and manager communications

-                Lead regular vendor meetings to progress operations for delivery of programmes

-                Update Learning Management System (LMS) with programme attendance and learning assignments for global curricula and Medical Affairs Onboarding Tracker for new joiners

-                Prepare programme surveys and data analytics on attendance and learner/manager feedback

-                Collect and share quarterly and annual data on workshops delivered to use in stakeholder discussions and budget input

-                Input and maintain annual C&P programme calendar

-                Support and implement key onboarding processes to ensure new joiners receive the appropriate learning modules at the right time

·               Manage Statement of Works to ensure they are correct, signed and processed to Purchase Order and payment/invoices tracked and follow up with vendors as required

·               Provide query management support to learners and managers via group mailbox

·               Archive documentation in accordance with Records Retention Schedule

·               Support live sessions using online Teams meeting platform eg recording, breakout groups, chat function, troubleshooting

·               Provide on-site operations support for f2f activities as needed

·               Support updates to content on C&P learning hubs on the Keep Growing Campus

·               Support, monitor and continually improve the systems and processes associated with learning operations and co-ordination

·               Advise C&P Programme Leads on Learning Operations

·               Manage C&P Projects aligned with organizational strategy

 

 

Key Skills/ requirements

 

·               4 years or more experience in an operations and coordination role

·               Proven experience in using LMS (Success Factors preferred)

·               Experience in using Microsoft Tools eg Teams Meeting

·               Experience of data analytics and reporting

·               Ability to manage multiple priorities while maintaining attention to detail

·               Strong interpersonal, organizational, written and oral communications skills

·               Experience with leading projects

·               Project Management qualification

·               Experience in overseeing the work of others

·               Experience in learning operations

·               Experience in working in a pharmaceutical setting

·               Experience in working with different time-zones and cultures

·                

·               Excellent stakeholder management skills
