Financial Operational Analyst

Part Time – 18.5 Hours per week

Job Purpose:

-The Financial Operations Support Analyst will be responsible for ensuring that purchase orders are placed correctly and vendors paid, thus enabling Galvani’s operations. Inherent to this work is ensuring that vendors are onboarded and set up properly in GSK payment systems and that invoices are paid on time.

-The analyst will also be responsible for basic spend tracking of actual spend vs PO commitments and latest dynamic forecasts/budgets.

Key Responsibilities:

-Ensures that Galvani Vendors are set-up correctly in payment systems and that invoices are received and processed to payment through the appropriate systems.

-Place orders with vendors on behalf of Galvani personnel, independently assessing whether payments would be more appropriate via Procurement Card (P-card) or Purchase Request / Invoice. Provide clear instructions and support to the Business to ensure orders are set up and coded correctly.

-Place orders for capital purchases, ensuring capital items are asset tagged in line with GSK Fixed Asset processes.

-Keep track of purchase order commitments and spend against them. Responsible for managing amendments and closing down POs on a timely basis when work is completed.

-Track and forecast all consultant payment commitments, including providing the accurate base for budget settings and updates.

-Basic finance tracking of actual spend vs PO commitments and latest dynamic forecasts.

-Ensure accurate and timely processing of payments through GSK finance systems, meeting our contractual commitments that vary by party and geography

-Galvani point of contact for any purchasing and payment related issues including liaising between vendors and the GSK payments team as required to get to resolution.

-Ensures execution of financial reporting obligations where needed (HCP reporting, US and UK census reporting)
